Priority Heating and Air – Website Terms & Conditions

These Terms & Conditions (“Terms”) govern your use of the Priority Heating and Air (“Company,” “we,” “our,” or “us”) website and the services we provide, including communication through our OpenPhone business number and payments processed via HouseCall Pro. By accessing or using our website or scheduling service, you agree to these Terms.

1. Scope of Services

Priority Heating and Air provides HVAC installation, repair, and maintenance services in Virginia. All online scheduling, estimates, and payments are processed through HouseCall Pro. Communications may occur through phone, SMS, or email, including our OpenPhone business line.

2. Payment Terms

Payment is due upon receipt of invoice unless otherwise stated in writing. We accept credit card, check, or ACH via HouseCall Pro. Late payments may incur a 1.5% monthly finance charge (18% annually) or the maximum allowed by Virginia law.

3. Estimates and Pricing

Estimates are based on current material and labor costs and remain valid for 30 days.
Final invoice amounts may vary due to actual time, materials, or unforeseen circumstances.
We will notify you of any changes or additional charges before work continues.

4. Warranty

New Equipment: 10-Year Manufacturer Parts Warranty and 2-Year Labor/Refrigerant Warranty unless otherwise stated.
Service & Repair: 30-day labor warranty and 1-year parts warranty (if new parts are installed).
Warranties are void if third-party tampering, inadequate maintenance, or customer-supplied parts are involved.

5. Maintenance

Customers are responsible for regular maintenance unless covered by a service agreement. Failure to follow recommended maintenance may void warranties or reduce system performance.

6. Scheduling, Cancellations, and Access

Appointments must be canceled or rescheduled at least 24 hours in advance.
Cancellations under 24 hours may incur a $99 trip charge.
Customers must provide clear access to equipment and work areas and authorize technicians to perform diagnostic tests and necessary repairs.

7. Limitations of Liability

Priority Heating and Air is not responsible for:
Pre-existing system damage
Issues resulting from neglected maintenance
Delays caused by weather, supply-chain issues, or manufacturer lead times
Incidental damage (drywall, paint, landscaping, etc.) necessary to access HVAC systems

8. Refrigerant Charges

Refrigerant prices fluctuate and will be billed at the current market rate per pound.

9. Website Use

Content on this site is for informational purposes only and may change without notice.
You may not copy, distribute, or misuse website content, trademarks, or service marks.
You agree not to use the site for unlawful purposes or to disrupt site operation.

10. Communications

By contacting us through our website forms, email, or our OpenPhone number, you consent to receive replies by call, text, or email regarding your service request. Standard message and data rates may apply.

11. Privacy

Personal information collected through the site or through HouseCall Pro is used solely to schedule, bill, and service appointments. We do not sell customer data. See our Privacy Policy for details.

12. Dispute Resolution

All disputes must be submitted in writing within 7 days of the invoice date. If unresolved, disputes will be governed by the laws of the Commonwealth of Virginia and handled in the appropriate court in Lynchburg, VA.

13. Acceptance

Scheduling service, approving work, or making payment constitutes acceptance of these Terms.
